I have sinned. I confess, it's been weeks since my last newsletter. I repent and promise to give fifteen "Hail Mr Gates".

This time, in addition to my usual roundup of shortcuts and websites I remind you of some tricks for keeping your email Inbox tidy (hands up: who has less than 40 messages in their Inbox? Hmmmmmmm.)

Can you believe it's been a year since my little boy was born? He turned one on June 14 and we celebrated with a big bouncing castle in the shape of a birthday cake in the backyard. I couldn't wait til all the kids were gone so I could have a quiet bounce!

Get to your Inbox and don't come out until it's clean!

I've seen an Inbox overflowing with over 400 messages in it (hello Di!). I hyper-ventilated. How can you find anything with that much to wade through? Sure, you can click the From field at the top of the list to sort in alpha order, or click it again to sort in reverse, but that whole process gets to be pretty slow with hundreds of messages to sort.

For these tips, I'll assume you're using Outlook or Outlook Express, which are the most common programs. If you're using Eudora, there's a great tutorial here or for Incredimail, try here.

Using Outlook? It's time for some housekeeping! Take a look through the messages in the Inbox and you'll find they all fit in to one of these categories:

  1. Need to reply to / action it
  2. Want to keep it but don't need to action it
  3. Don't need to keep it

The only messages you should have in the Inbox are those from Category 1.

Category 2 - Create Folders to keep messages you need:

  • Click on the Inbox
  • Use the keyboard shortcut Ctrl + Shift + E
  • Give your new folder a name and press Enter or click OK.
Category 3 - The Fun Part - Delete messages you no longer need:
  • groupTo select multiple messages in a block, click the first one and hold down the Shift key while you click the last one. Even if you need to scroll down, just click on the scroll bars.. not on the screen - when you hold down the Shift key and click, Outlook will select from the 1st file you clicked on to the last one. Then press Delete.

  • groupSay you want to select random multiple messages like the 1st, 3rd, 9th and 12th... click to select the first one, then hold down the Ctrl key and click on each subsequent email. Then press Delete.
  • HOT TIP: If you want to permanently delete the files, bypassing the Deleted Items folder, hold the Shift key down while you're pressing the Delete key.

Mega Blogs

I introduced the Blogging concept to you in FingerTips 67. A blog is an online web log (journal). Have you started one, or have you come across one that you're glued to? Some websites I've come across this month that you'll be sure to find amusing or helpful!

  • Broadband Guide - What's broadband? It's high-speed internet access. Most homes will have access to ADSL which comes through your existing telephone line and is the cheapest form of high speed access.
    Broadband Guide is a fantastic resource for anyone looking to change over to a broadband ISP (internet service provider).
    Use the Plan Finder - an interactive wizard guiding to the right broadband plan. The site also includes a ton of fact sheets so it's a good one to keep handy.
  • One Red Paperclip - this is a guy who decided he would try to trade one red paperclip for a HOUSE. Of course he's mapping his progress online and it is hilarious to watch! He swapped the paperclip for a fish pen, then a doorknob, a skidoo, a van (with advertising on it.. very clever!), an afternoon with Alice Cooper and is currently wanting to swap a Hollywood movie role! People have offered gold teeth, a car, you would be amazed!
  • The evolution of dance - the latest hilarious video doing the rounds. I bet you'll recognise yourself in it somewhere!
  • eBay - I've been asked to give so many talks recently at various corporate conferences, schools, Probus and Rotary clubs and it seems everyone's keen to get hooked on eBay.. The most popular tips seem to be:
    1. if you're worried about using a credit card to pay for things online, ask your bank for a 2nd card with a low limit so you can enter the online purchasing world that way.
    2. when listing something for sale on eBay - always include a photo of your item.
    3. check out and use www.esnipe.com to 'snipe' for ebay items automatically at the closing seconds of an auction. I'm hooked!

Snappy Shortcuts

snapTaking a snapshot of your screen

Ever wondered how to take an image of the screen and put it into an email, a document or print it out? It can be pretty handy when you've got an error message popping up but it's too lengthy to write down, or if you're creating training materials for someone and you need to refer to a certain box.

As you can see, I've taken a snapshot of my screen - while I was looking at my brand new website! Here's how:

  • Make sure the screen shows what you want to capture.
  • Press the Prnt Scrn key at the top right of your keyboard. Nothing appears to happen, but Windows DOES take an image of the current screen and puts it in the Clipboard.
  • Go to Word and use the shortcut Ctrl + V to paste the image in.
  • NB: If you are trying to capture JUST the active window or dialog box (or error message), hold down the Shift key as you press Prnt Scrn.

In Outlook, Ctrl + Shift + I takes you to the Inbox no matter what folder you're in at the time.
